Exhibitors shall not dismantle exhibits prior to the official show closing time. Companies who dismantle their booth(s) before the posting show closing time without consent of show management may forfeit priority placement for the following year's show. All exhibits must be removed from the Convention Center by noon Friday.

BAGGAGE/COAT ROOM:
For an easier and more comfortable visit, baggage and cloakroom services are available at the entrances of each hall.
BALLOONS
Prior authorization must be requested from the Exhibitions Services Direction regarding balloons inside the exhibition hall. Please provide the following data: size, material, type of rising agent (air, gas, helium, etc.) and the type of anchorage to be used.
BOOTH DESIGNATIONS
NOTE: all raw space booths that adjoin a shell scheme must have finished rear and side walls. Please contact Saxon Design directly to install these walls. Any unfinished raw booths will incur on-site charges to install hard walls per Show Management. Please refer to the Manual for additional information.
Linear (Standard In-Line) Booth: one or more booths (3.05m/10ft wide x 3.05m/10ft deep with a maximum back wall of 2.44m/8ft) that have only one side exposed to an aisle and are generally arranged in a series along a straight line.
Perimeter Booth: a Linear Booth that backs to an outside wall of the Exhibition Hall rather than to another exhibit. All Guidelines for Linear Booths apply except that the maximum height of the back wall can be 3.66m/12ft.
Island Booth: exposed to aisles on all four sides. Maximum height allowance is 4.88m/16ft. Show Management will allow an additional height allowance of up to 6.1m/20ft including signage. Drawings must be approved by Show Management.

CHILDREN
Due to the business nature of this event, children under 16 are not permitted into the Exhibition Hall or the Conference during installation, official show days and teardown. Children ages 16 and older will be admitted to the Exhibition Hall during official hours, provided that they are registered, pay appropriate fees and with the understanding that they are the sole responsibility of an accompanying adult.

ELECTRICITY
AVIATION WEEK will provide the minimum amount of electricity during the Exhibition (130 W per square meter of stand). If additional power is required, the Service Order form must be filled out and submitted via Saxon Design. IFEMA reserves the right to measure the energy used on each stand, charging for the amounts that surpass the established minimum. EVENT ATTIRE
Business attire is appropriate throughout the exhibition, conference and all related events. Be sure to pack a light sweater or jacket for air conditioned conference Halls. (No jeans or sneakers during official show events or show hours).

Hanging signs and graphics are permitted in all Standard Island Booths. Show Management will allow a maximum height of 20ft/6.1m including signage. Whether suspended from above or supported from below, the booth should comply with all ordinary use-of-space requirements (for example, the highest point of any sign should not exceed the maximum allowable height for the booth type.)

RIGGING
Please contact venue inspeccion.rigging@ifema.es to schedule any rigging of banners, signs, etc. All rigging must go through IFEMA. Exhibitor must adhere to IFEMA guidelines.
SAFETY & SECURITY
IFEMA provides overall security at Feria de Madrid, as well as fire extinguishers and emergency signage in all rooms. IFEMA is also responsible for handling exceptional emergency and/or evacuation situations, in the framework of IFEMA’s Internal Emergency Plan.
SHIPPING

SOUND/MUSIC
Exhibitors may use sound equipment in their booths so long as the noise level does not disrupt the activities of neighboring exhibitors. Speakers and other sound devices should be positioned so as to direct sound into the booth rather than into the aisle. Rule of Thumb: Sound and noise should not exceed 8.5 decibels Exhibitors should be aware that music played in their booths, whether live or recorded, may be subject to laws governing the use of copyrighted compositions. ASCAP, BMI, SGAE and SESAC are the four authorized licensing organizations that collect copyright fees on behalf of composers and publishers of music.
STAND CLEANING
Stands will be cleaned prior to Exhibit Hall opening on Wednesday September 28, however companies may continue request this service through IFEMA . Aviation Week Events has contracted with a select group of suppliers the responsibility to perform the various tasks needed to set up, operate, and dismantle the exhibition. Show Management has researched the professionalism and industry reputation of the listed providers in order to bring our exhibitors the highest level of service. It is to your advantage to choose the Official Contractors. Official Contractors maintain a presence at the Service Center on the Exhibit Floor, providing trained technical staff to support your needs. Show Management does not associate with any company other than those chosen as the Official Contractor. IFEMA requests that all exhibitors have the minimum civil liability insurance (€60,000) and the Multi-fairs insurance against fire, lightning and explosions (€30,000). If you do not have this insurance, you need to either purchase it from your own insurance company or directly from IFEMA (IFEMA will invoice you directly). If your insurance company meets these requirements, please provide the necessary documentation to IFEMA, contact is Joaquin Fernandez – jfernan@ifema.es

EAC Information
DEFINITION
An Exhibitor Appointed Contractor (EAC) is any company other than one of the designated official contractors which an exhibitor wants to employ inside the exhibit hall before, during (by special pass and/or wristband), or after the show (Union Rules and Regulations may apply). No permission to use an Exhibitor Appointed Contractor will be given for the performance of the following services:

WRISTBAND REQUIREMENTS FOR EXHIBITOR APPOINTED CONTRACTORS
- Each individual affiliated with the EAC must wear a correct wristband, prepared and distributed by Show Management. The EAC wristband must be worn all times during move-in and move-out.
- The process for EAC wristbands will be sent directly to the EAC by Show Management with instructions on how to pick up wristbands onsite with a copy of a valid ID (driver's license, passport, etc.).
- EAC personnel who require access during show hours must request a show day wristband a minimum of one day prior to the opening of the show. Proper attire must be worn at all times.
- EAC wristbands are NOT transferable and must be worn at all times on the wrist. Floor managers will spot check all EAC for adherence to this policy and lost EAC wristbands need to be reported to Show Management immediately. Violation of this policy will result in the termination of the EAC agreement with Show Management and all fees paid by EAC will be forfeited accordingly.
- EAC must refrain from the use of and access to all public areas and are strictly confined to exhibit floor access during move-in and move-out.
RULES AND REGULATIONS GOVERNING EXHIBITOR APPOINTED CONTRACTORS
- IN ORDER TO ASSIST THE EXHIBITOR IN VERIFYING THE ACCURRACY OF THEIR EXPENSES, A COPY OF THE ORIGINAL INVOICE, IS REQUIRED BY SHOW MANAGEMENT, TO BE SENT TO THE EXHIBITOR OF RECORD FOLLOWING THE CLOSE OF THE SHOW. BY ALL VENDORS.
- The Exhibitor Appointed Contractor will not solicit business on the show floor at any time, including installation, during the show, and dismantling.
- The Exhibitor Appointed Contractor will share responsibility, with the Official Contractor, all reasonable costs incurred in connection with his operation, including overtime pay for stewards, security if necessary, restoration of the exhibit hall to its initial condition, custom marking of the floor, etc.
- The Exhibitor Appointed Contractor will cooperate fully with the Official Contractors and will comply with existing labor regulations or contracts as determined by the commitment made and obligations assumed by Show Management in any contracts with the Official Contractors. Proper ID must be worn at all times.
- The Exhibitor Appointed Contractor will not establish service desks of any type anywhere inside the exhibit hall. The EAC will utilize space as designated by Show Management, outside the exhibit hall.
- Cameras or photography are prohibited on the exhibit floor without permission from Aviation Week Events. With the approval of Aviation Week Events, the EAC may photograph only the booth(s) with which they have contractual arrangements.
- While aisle carpeting is being installed, jockey boxes, ladders and the EAC equipment must be removed completely from the show floor, or be placed inside the booth being installed (if removal will not disrupt or damage the carpet after it is installed), or be placed in the EAC storage area.
- Use of electric scooters by EAC is prohibited at all times.
- EAC are not allowed on the show floor during open days of the show without a special EAC show day pass or wristband. EAC must be dressed in suitable attire at all times.
- EAC are not authorized to have Exhibitor Badges.
- The Exhibitor Appointed Contractor will refrain from placing an undue burden on the Official Contractors, especially by not interfering in any way with the Official Contractors' work.

Please select the hotel of your choice and fill out the form in its entirety, or go to their online website, as directed by individual hotel.
NO PHONE RESERVATIONS PLEASE. Fax it to the Hotel and you will receive your confirmation. Please note that each hotel has different cancellation policies.
Any request of five (5) or more rooms will be considered a sub-block and will require a separate group contract with penalty in full should the release or cancel be from date of reservation/signature.

New hotel with clean, large rooms. There are two towers at this property, one operating as 4-star, the other as a 5-star location. Rooms are identical in both towers so this is not an issue for room placement. Almost on airport grounds, though access road is a bit cumbersome. Attractive lobby, bar and restaurant space. Walking distance to mall across the street. Free shuttle to airport and at times to IFEMA as well (based on availability).
